About the Role

Key Responsibilities
As part of the Facilities & Front of House team, you’ll ensure smooth day-to-day operations across the London office, delivering a first-class experience to employees, visitors, and VIP clients. Duties include:
Reception & Front of House
Meeting and greeting clients and visitors with warmth and professionalism
Escorting guests to meeting rooms, providing refreshments, and announcing arrivals
Maintaining the highest presentation standards across all client-facing spaces
Managing the meeting room booking system and tracker
Ensuring meeting rooms are set up and cleared promptly after use
Facilities Management
Coordinating repairs, maintenance, and office services, liaising with vendors and contractors
Supporting Health & Safety compliance, including visitor logs and security badge issuance
Ordering and replenishing office and pantry supplies for London and Paris offices
Managing incoming and outgoing mail and arranging couriers (FedEx and local)
Overseeing office equipment and liaising with suppliers for servicing and repairs
Processing invoices and maintaining vendor relationships
Team & Administrative Support
Providing ad hoc support to the Executive Assistants and broader office team
Assisting with internal and external events, including logistics and catering
Coordinating travel bookings where required
Preparing reports, presentations, and documentation for facilities projects
Covering for the Front of House Manager during absences
