About the Role

Are you highly organised with a proactive mindset and a passion for working in an international, mission-driven environment? We are looking for an Executive Assistant on behalf of our client, a leading international non-profit organisation, based in Amsterdam.

This role provides direct support to two Directors, including the Executive Director based in Germany. The bulk of the work centres on managing extensive global travel, complex diary coordination, and making sure senior leadership can focus on what matters by having everything else handled proactively. Key Responsibilities

Travel & Logistics Coordination

  • Manage all aspects of international travel for the Executive Director and Amsterdam Directors, including flights, accommodation, local transport, and on-the-ground arrangements
  • Prepare detailed itineraries and travel briefings ahead of each trip
  • Handle visa and passport requirements for travel to various countries, including liaising with relevant authorities where needed
  • Occasionally travel with the Executive Director to international events (approximately 1–2 times per year, anywhere in the world)

Calendar & Stakeholder Management

  • Manage and coordinate complex, often back-to-back schedules for the Directors, proactively identifying conflicts and proposing adjustments
  • Schedule and coordinate meetings with international counterparts and external stakeholders, including follow-up correspondence
  • Prepare meeting agendas, gather background materials, and take minutes during international meetings
  • Correspond with international meeting hosts and external partners on behalf of the Directors

Administrative & Financial Support

  • Process invoices, travel expense claims, and reimbursements
  • Manage membership, subscription, and other recurring administrative renewals
  • Review, proofread, and lightly edit written materials and documents as needed
  • Support last-minute edits and formatting adjustments to presentation materials ahead of meetings or conferences

Office & Team Support

  • Assist with office correspondence and general administrative support 
  • Contribute to the planning and coordination of internal team-building activities and staff events
  • Support public relations and outreach tasks on an ad hoc basis

Qualifications & Skills

  • Minimum HBO degree or equivalent work experience
  • Minimum of 3 years of executive assistance or secretarial experience supporting management, ideally in an international setting
  • Strong written and verbal English communication skills; German, Dutch or Spanish are a plus
  • Proficient in Microsoft Office, particularly Word and PowerPoint
  • Excellent organisational skills and strong attention to detail, with a consistent commitment to accuracy
  • Comfortable picking up new digital tools and platforms quickly
  • Diplomatic and culturally sensitive approach to working with a wide range of internal and external stakeholders
  • Able to manage a busy workload within tight deadlines with strong self-management
  • Proactive and anticipatory work style, able to flag and resolve potential issues before they arise
  • Availability and genuine enthusiasm for occasional international travel
  • Experience or interest in research, ideally in an educational or academic context (highly preferred)
  • Background in non-profit, NGO, or international organisations (highly preferred)

What We Offer

  • Full-time role; minimum 4-day workweek considered
  • Salary €3,500-€3,750 gross per month, excluding 8% holiday allowance
