Executive Administrative Assistant Fort Worth, TX | Onsite Compensation & Schedule $33.00/hour Monday–Friday | Full-Time 90-Day Temporary Assignment W2 Role Impact Join a respected higher education organization as an Executive Administrative Assistant, providing executive-level administrative, financial, and operational support to department leadership. This role manages budgets, purchasing, contracts, faculty recruitment, scheduling, and vendor relationships while utilizing multiple enterprise systems in a fast-paced environment. Success in this position requires exceptional organization, strong technical aptitude, sound judgment, and the ability to manage multiple priorities with accuracy and professionalism. Key Responsibilities Provide executive-level administrative support to department leadership. Monitor departmental budgets, maintain financial spreadsheets, reconcile expenses, and process invoices. Coordinate purchasing, vendor setup, contract administration, and payment processing. Utilize multiple enterprise systems including PeopleSoft, Concur, Jaggaer, Cobblestone, Astra, and other business applications to support financial, procurement, scheduling, and administrative functions. Generate reports, run system queries, and maintain accurate departmental records. Coordinate faculty recruitment, interview scheduling, travel arrangements, and hiring logistics. Assist with classroom scheduling, room assignments, and department calendars. Prepare meeting agendas, minutes, and executive reports. Maintain confidential records and serve as a liaison between faculty, vendors, and university departments. Support special projects and provide cross-functional administrative assistance as needed. Minimum Qualifications High school diploma or GED required; Bachelor's degree preferred. 5+ years of executive administrative, business coordinator, or senior administrative support experience. Experience with budget tracking, purchasing, invoice processing, vendor management, and contract administration. Advanced Microsoft Office skills, including Excel. Experience working with multiple enterprise software systems is required. Experience with PeopleSoft, Concur, Jaggaer, Cobblestone, Astra, Workday, Banner, Oracle, SAP, or similar ERP/procurement systems is strongly preferred. Excellent organizational, communication, and problem-solving skills with exceptional attention to detail.
