About the Role

Job Title: Administrator
Location: Coventry (CV5) / Birmingham (B33) - Fully Onsite
Pay Rate: £14.38 per hour (PAYE)

Contract Length - 12 Months

About the Role

We are recruiting for an experienced Administrator to join EQUANS, a global leader in energy and facilities management services. This is an excellent opportunity for a highly organised administrator with strong Excel and data management skills to support a busy project team in a fast-paced environment.

You will play a key role in coordinating project documentation, managing administrative processes, tracking project data, and ensuring handover packs are completed accurately and on time.

Please note: A DBS check is required for this role.

Key Responsibilities

  • Prepare, coordinate, and complete property handover packs across multiple projects.

  • Maintain accurate project documentation and ensure records are audit-ready.

  • Use Microsoft Excel, Word, PDF tools, and internal systems to manage data, reports, and documentation.

  • Provide day-to-day administrative support to project and operational teams.

  • Liaise with Quantity Surveyors, Contract Managers, Site Managers, and Customer Liaison Officers to ensure smooth project coordination.

  • Act as a key point of contact between site teams and office-based staff.

  • Produce monthly performance reports highlighting project progress and key achievements.

  • Monitor project deadlines and milestones, escalating any risks or delays where required.

  • Support continuous improvement initiatives and contribute to efficient project delivery.

What We're Looking For

  • Previous experience in an administrative or project support role.

  • Strong Microsoft Excel skills and confidence working with data.

  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.

  • High level of accuracy and attention to detail.

  • Strong communication and relationship-building skills.

  • Comfortable working in a fast-paced environment.

Desirable Experience

Experience using any of the following systems would be advantageous, but is not essential:

  • Viewpoint

  • Field View

  • Asprey

A background in construction or commercial projects is beneficial but not required. We welcome candidates from any industry who are confident working with data, documentation, and administrative processes.
