Department Eastside Pediatric/Teen Clinic Job Summary Under general supervision the administrative medical assistant is a dual purpose, hybrid position that has both administrative and clinical duties. Administrative duties include maintaining clinic and employee files, creating reports, and communicating inside and outside of the department. Schedules and coordinates logistical support for conference calls, meetings, and events. Document preparation services. Locates and retrieves information in support of management and technical staff. Essential Functions: Clinical • Greets patients and verifies patient information, completes patient rooming tasks according to guidelines and standard work. • Provides written after visit summary, and medication/vaccine information. • May provide scripted patient information, assist in scheduling diagnostic testing, and follow up appointments. Completes accurate and timely documentation. (45%) Administrative • Answers phones, performs outreach, returns calls and messages. • Assists provider with clinical inbox management as appropriate and according to standard work. • Coordinates and schedules various trainings, meetings, and events. • Collects and maintains data to complete departmental weekly and monthly reports. • Orders and maintains supplies and equipment for the team. Prepares purchase orders and payment requests. • Replies to incoming requests and creates and/or coordinates outgoing communications. • Troubleshoots equipment breakdowns and escalates equipment issues. • Creates and maintains department files. (45%) Peer Resource and Training • Coordinate orientation and assist with precepting new Medical Assistants. • Provide guidance to assigned MA’s related to the most effective work activities, strategic metrics, and improvement. • Collaborate with ACE (Ambulatory Care Education) for teaching Annual Skills Competency. (5%) Oversite of Sterile Processing • Responsible for equipment-ordering, maintaining, cleaning according to policy for assigned clinics. (5%) Education: Post High School Diploma or Certificate Program Medical Assistant School Required Work Experience: 1-3 years Medical Assistant direct patient care experience in an outpatient setting Required and 1-3 years Office/clerical experience Required Licenses: BLS-Basic Life Support (BLS/CPR) - AHA - American Heart Association Required Knowledge, Skills and Abilities: Active Listening — Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Communicating — Communicating effectively orally and in writing as appropriate for the needs of the audience, expressing or exchange ideas by verbal communications. Coordination — Adjusting actions in relation to others' actions. Critical Thinking — Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems. Time Management — Managing one's own time and the time of others. Proficient in Microsoft Office Suite (e.g., Word, Excel, PowerPoint) Ability to remain calm and effective in emergency situations. Knowledge of patient rights and laws relative to those rights, such as HIPAA Excellent communication skills both written and verbal Knowledge of examination, diagnostic, and treatment room procedures, and the ability to use medical equipment and instruments to administer patient care. Documenting/Recording Information — Entering, transcribing, recording, storing, or maintaining information in written or electronic/magnetic form. Assisting and Caring for Others — Providing personal assistance, medical attention, emotional support, or other personal care to others such as coworkers, customers, or patients. Processing Information — Compiling, coding, categorizing, calculating, tabulating, auditing, or verifying information or data.
