Personal Assistant to Managing Director & Team CoordinatorOur client are seeking a highly organised and proactive Personal Assistant to support the Managing Director while also playing a key role in coordinating activity across the wider team.This is a varied position suited to someone who enjoys balancing executive support with hands-on coordination, keeping people aligned, and ensuring day-to-day operations run smoothly.The roleYou'll work closely with the Managing Director and senior team, acting as a trusted support and central point of coordination. From managing priorities and schedules to supporting reporting, projects, and team activity, you'll be instrumental in keeping everything on track.Key responsibilitiesExecutive Support to Managing DirectorProvide dedicated day-to-day support, managing priorities and administrative needsAct as a first point of contact for communications and enquiriesHandle confidential information with discretionTrack actions, deadlines, and key deliverablesDiary & Meeting ManagementManage a busy and ever-changing scheduleCoordinate meetings across multiple stakeholdersOrganise logistics including venues, virtual links, and materialsPrepare agendas, compile documentation, and take accurate minutesEnsure follow-ups are tracked and completedTeam CoordinationSupport the wider leadership team with coordination and administrationHelp align activity across departments and maintain visibility of prioritiesAssist with internal planning, communications, and organisationTender & Project SupportCoordinate administrative aspects of tender submissions and business projectsManage timelines, gather input from contributors, and ensure deadlines are metMaintain clear records of documentation and communicationsReporting & DocumentationSupport the preparation of business and leadership reportsMaintain trackers, documents, and reporting schedulesEnsure information is accurate, well-presented, and accessibleEvents & LogisticsArrange travel and itineraries for the Managing DirectorSupport internal events such as team meetings, off-sites, and company gatheringsLiaise with venues and suppliers to ensure smooth deliverySystems & Process SupportUse internal systems for diary management, documentation, and reportingSupport expense processing and record keepingContribute ideas to improve processes and efficiencyAbout youProven experience in a PA, EA, or similar coordination roleStrong organisational skills with excellent attention to detailConfident managing multiple priorities and stakeholdersClear and professional communication skillsDiscreet, reliable, and adaptableComfortable working in a fast-paced environmentA degree or relevant qualification is advantageous but not essential.What you'll getPrivate healthcare from day oneHybrid workingAccess to employee perks and discount platformsEnhanced family-friendly policiesLife assurance and critical illness cover (service dependent)Season ticket loan supportEye care contributionsto find out more, please apply or reach out
