About the Role

We are looking for an experienced HR & Payroll Specialist to join our team. In this role, you will be responsible for end-to-end HR administration and payroll processes throughout the entire employee lifecycle, ensuring compliance with applicable regulations and providing ongoing support to employees and managers on HR-related matters.

Requirements:

  • At least 2–3 years of experience in an HR and payroll-related position.
  • Practical knowledge of Polish labour law, social security regulations, and tax law.
  • Hands-on experience in independently processing payroll and maintaining employee documentation.
  • Experience in preparing HR documentation, including employment contracts, amendments, employment certificates, statements, and documents related to termination of employment.
  • Experience in preparing documentation and settlements for ZUS, PPK, PFRON, GUS, and tax authorities.
  • Good knowledge of working time regulations and the settlement of annual leave, sick leave, and other absences.
  • Ability to prepare HR and payroll reports and analyses.
  • Very good knowledge of Microsoft Office, particularly Excel.
  • Experience working with HR and payroll systems such as Optima, Płatnik, and TOM HRM.
  • Good command of English, at least B2 level, enabling effective communication with international employees and business partners.
  • Strong attention to detail, accountability, and excellent organisational skills.

Responsibilities:

  • Managing end-to-end HR administration throughout the entire employee lifecycle, from onboarding to offboarding.
  • Preparing and maintaining HR documentation, including employment contracts, amendments, agreements, termination notices, employment certificates, and other employment-related documents.
  • Maintaining and updating employee personnel files and electronic HR records.
  • Monitoring deadlines related to occupational health examinations, health and safety (OHS) training, and employment contract validity.
  • Recording and settling working time, annual leave, sick leave, and other types of absence.
  • Independently processing payroll and maintaining payroll documentation.
  • Managing processes related to hiring, changes to employment terms and conditions, and termination of employment.
  • Preparing declarations, documentation, and settlements for ZUS, PPK, PFRON, GUS, and tax authorities.
  • Issuing employee certificates and preparing documentation required by external institutions.
  • Preparing HR and payroll reports, summaries, and analyses.
  • Providing ongoing support to employees and managers regarding labour law, payroll, and internal HR policies and procedures.
