A successful candidate should have a minimum of 2 years of experience as a bookkeeper and be adept with a variety of office software, technologies, and programs. Primary position expectations include the ability to:
Administrative duties:
Greet and welcome visitors, ensuring a positive and professional impression.
Manage phone calls, emails, and correspondence.
Ensure the office is properly maintained, clean, and well-organized.
Maintain inventory of office supplies, place orders as needed and provide required paperwork and details to the accounting department.
Coordinate and oversee weekly, monthly, and annual office gatherings.
Plan in-house or off-site activities like parties and special events.
Oversee office equipment and coordinate maintenance and repairs.
Manage relationships and negotiations with office vendors, service providers, and facilities management.
Manage employee parking, assignment, utilization, and tracking. Assist employees with parking issues.
Provide administrative support to various departments as required.
Set up meetings and compile and distribute relevant materials.
Moving, assembling, and installing office desks and whiteboards.
Initiate, coordinate, communicate, and handle record retention of storage area and other support departments.
Provide Human Resource assistance as directed by Senior Payroll and Benefits Specialist or Management. Duties include posting job advertisements, tracking job applicants, setting up interviews, preparing and maintaining new hire orientation materials and forms, new hire onboarding, accurate setup and maintenance of HR files, communicating with candidates, handling reference checks, external assessments, criminal background checks, and other items as necessary.
Facilitate employee years of service award program.
Manage special projects at the request of management.
Bookkeeping duties:
Manage office General and Administrative budgets, ensuring accurate and timely reporting.
General bookkeeping Accounts Payable, ensuring all invoices are accurately recorded and paid on time, obtaining W-9s where needed.
Obtain, organize, accurately identify, and reconcile corporate credit card receipts monthly and provide them to accounting in a timely manner.
Track employee international travel for liability insurance reporting.
Work with the accounting department to maintain proper expense controls.
Minimum Requirements
3+ years as an office administrator or similar role.
2+ years of bookkeeping experience.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Attention to detail and problem-solving skills.
Proven ability to handle confidential information, sharing appropriately with persons inside and outside the organization.
Strong organizational, time management, and multitasking abilities.
Excellent verbal and written communication skills.
Ability to prioritize tasks and work independently.
Professional and friendly demeanor.
Ability to lift 25 pounds
