<strong style="font-weight:700;">Job Title: Maintenance Clerk / Preventative Maintenance Administrator</strong><br /><strong>Job Description</strong><p>This role supports the maintenance department by administering the preventative maintenance (PM) program, entering and updating maintenance data, and coordinating parts ordering and purchase order routing. The Maintenance Clerk ensures that PM schedules remain accurate, records are audit-ready, and maintenance information flows smoothly between the maintenance team and administrative systems.<p><strong>Responsibilities</strong><ul><li>Maintain and update the preventative maintenance (PM) schedule to ensure all tasks are planned and completed on time.</li><li>Gather PM information and completion details from the maintenance department and enter the data accurately into the maintenance system.</li><li>Input PM completions and update schedules to reflect current maintenance status and future requirements.</li><li>Administer the computerized maintenance management (CMM) or similar system for PM-related data entry and record keeping.</li><li>Perform preventative maintenance data entry in a timely and accurate manner to support maintenance planning and reporting.</li><li>Route purchase orders (POs) as needed to support parts procurement and maintenance activities.</li><li>Coordinate with maintenance personnel to clarify PM requirements, terminology, and work order details.</li><li>Maintain organized maintenance records to support internal reviews and external audits.</li><li>Verify that PM records and work orders are complete, accurate, and properly documented in the system.</li><li>Support the maintenance department with general administrative tasks related to preventative maintenance scheduling and records management.</li></ul><strong>Essential Skills</strong><ul><li>Basic knowledge of preventative maintenance (PM) data and work order processes.</li><li>Experience working with maintenance records in support of audits.</li><li>Familiarity with maintenance terminology, especially related to preventative maintenance, for accurate data entry.</li><li>Proficiency in data entry with strong attention to detail and accuracy.</li><li>Ability to manage and update preventative maintenance schedules.</li><li>Capability to route and track purchase orders related to maintenance activities.</li><li>Strong organizational skills for maintaining structured maintenance records.</li></ul><strong>Additional Skills & Qualifications</strong><ul><li>Experience with parts ordering to support maintenance operations.</li><li>Prior exposure to a computerized maintenance management system (CMM) or similar maintenance software.</li><li>Comfort working closely with maintenance personnel and adapting to maintenance department processes.</li><li>Ability to prioritize tasks and manage multiple PM entries and schedule updates at once.</li></ul><strong>Why Work Here?</strong><p>You will join a stable, organized environment where maintenance operations are supported by clear processes and structured records.
