About the Role
We are seeking an organised and proactive Property Manager to oversee the day-to-day management of a portfolio of properties. The successful candidate will be responsible for financial management, tenant relations, facilities management, and ensuring all properties remain compliant with legal and safety requirements.
This is a varied role requiring strong organisational skills, attention to detail, and the ability to manage relationships with tenants, contractors, and landlords.
Key Responsibilities
Financial Management
Reconcile all income and expenditure within the property management bank account using the Re-Leased property management system
Ensure rental payments are processed and paid to landlords in a timely manner
Chase rent arrears and outstanding invoices
Process payments to service providers and utility companies upon receipt of invoices
Tenant Management
Manage the handover of units to new tenants
Set up lease details within the Re-Leased property management system
Manage lease agreements, renewals, and rent reviews
Handle tenant queries and complaints professionally
Address and resolve breaches of tenancy agreements
Facilities Management
Manage contracts for cleaning, security, and waste services
Monitor utilities and energy performance across properties
Ensure communal areas are maintained to a high standard
Manage car parks and building access systems
Organise planned maintenance and coordinate reactive maintenance works
Appoint and manage external contractors
Ensure building systems such as HVAC, lifts, and fire alarms are regularly serviced
Utilities Management
Read gas, electricity, and water meters to ensure accurate billing
Liaise with utility companies and landlords regarding utility contracts
Recharge utility costs to tenants where applicable
Property Compliance
Ensure properties comply with legal health and safety requirements, including fire safety, gas safety, and electrical safety
Maintain up-to-date statutory compliance certificates
Manage risk assessments and safety procedures
Liaise with insurance brokers to arrange property insurance
Recharge insurance costs to tenants where required
Database & Reporting
Maintain and update the Re-Leased property management database
Manage service charge budgets and reconciliations
Conduct regular property inspections and address issues promptly
Act as the primary contact for landlords regarding property management matters
Provide regular updates on property performance and occupancy levels in collaboration with the leasing team
Skills & Experience
Previous experience in property management, facilities management, or estate management
Strong organisational and financial administration skills
Excellent communication and tenant management abilities
Experience using property management software (Re-Leased or similar) desirable
Ability to manage contractors and multiple properties simultaneously
Knowledge of property compliance and health & safety regulations
