You will be responsible for maintaining a productive and efficient office environment, ensuring smooth operations, and supporting our team in various capacities.<br /> Responsibilities:</p> <p>Answers phone calls and requests from tenants. Coordinates with Property Manager issues, performance of work and dispatch of vendors.<br /> Monitors the billable tracking for maintenance requests and ensures signed forms are received and billed back accordingly. Advise tenants about upcoming events such as building improvements.<br /> Monitors renewal dates for service contracts; assists in the preparation of service contracts and verifies insurance is in place.<br /> For repair and maintenance work + prepares contract/Purchase Order and follows up to be sure it is signed by both the vendor and company.<br /> Monthly , identifies all past due tenants from Yardi, contacts and documents the results for upper management<br /> Keeping track of office supplies, ordering new materials and IT hardware, and stocking supply stations<br /> Handling email, faxes, and messages, and preparing letters, memos, forms, and reports<br /> Coordinating meeting-room calendars and scheduling appointments<br /> Keeping the office clean, stocked, and organized, especially the kitchen, conference rooms, and storage closets<br /> Providing ad hoc support to staff members and portfolio managers,, including organizing team events, circulating financial/legal statements, and reports<br /> Planning tasks and ensuring they are allocated and fulfilled appropriately<br /> Monitors renewal dates for service contracts; assists the asset managers in the preparation of service contracts and verifies insurance is in place.<br /> For repair and maintenance work, prepares contract/Purchase Order and follows up to be sure it is signed by both the vendor and company.<br /> Monthly, identifies all past due payments, contacts and documents the results for upper management</p> <p>Requirements:</p> <p>• Bachelor&#8217;s degree in Business or related field<br /> • 3+ years of experience in a similar role<br /> • Experience with Excel and real estate PM software<br /> • Experience with tenant leasing</p> <p>Desirable Traits:</p> <p>• Exceptional attention to detail to ensure accuracy in all tasks<br /> • A positive attitude and high energy level to keep up with a fast-paced environment.<br /> • Excellent and thoughtful verbal and written communication skills</p>
