Our Values Respect | Belonging | Accountability | Transparency Department Surgery Admin Job Summary The Support Assistant III performs various administrative, scheduling, and customer service duties for department. Supports daily procedural scheduling. Assists with division providers' credentialing and promotion documentation submissions. Maintains Outlook Calendars for department chief and conference room. Submits purchasing and reimbursement requests for division providers. Administrative assistance with Office of Education for coordination of division medical trainees' orientation, CU School of Medicine support for division CU School of Medicine Faculty, and specified recruitment/on-boarding administrative tasks for division providers. Essential Functions: Departmental division procedural scheduling – reviews specified case requests in scheduling depot throughout day to facilitate operational productivity. Responsibilities include initial scheduling and rescheduling of patients as directed through departmental scheduling guidelines, verbal/written instruction, and feedback. (30%) Verification of insurance authorization for specified procedures- works independently with Insurance Verification team to ensure all specified case requests are authorized before date of service. (20%) Department division operational schedule management - prepares and manages specified monthly schedules in designated schedule management programs. (15%) Credentialing - assists with department division providers' credentialing and promotion documentation submissions for Denver Health and University Colorado Hospital. (10%) Meeting management for department division - maintains Outlook Calendars for department division chief, conference room, and specified departmental meetings. (10%) Submits purchasing and reimbursement requests for department division providers. (5%) Trainee Coordination - Coordinates orientation and onboarding for incoming fellows, interns, residents and Medical/PA students in conjunction with the Office of Education. (5%) Division provider recruitment administrative coordination and CU School of Medicine support for department division CU School of Medicine Faculty. (5%) Education: High School Diploma or GED required Work Experience: 4-6 years administrative support experience performing duties as described above preferably in a university or hospital setting. Licenses: Knowledge, Skills and Abilities: Proficient in Microsoft Office Suite Strong organization skills with exceptional attention to detail; ability to work independently and be self-directed. Ability to use scheduling systems and coordinate meetings, reserve conference room space and equipment, and communicate with participants. Excellent customer service skills. Ability to communicate clearly both verbally and in writing in a professional manner; bilingual preferred. Ability to divide time and tasks equally/adequately between multiple leaders as assigned.
