Technical Communications Specialist II
Location: Rochester, NY
Work Model: Hybrid (2 days onsite, 3 days remote)
Schedule: 8:00 AM – 4:00 PM
Overview
We are seeking a Technical Communications Specialist II to develop high-quality technical documentation and communications that support the safe and effective use and servicing of products. This role collaborates cross-functionally to create clear, accurate, and compliant materials for both internal and external audiences.
Key Responsibilities
- Develop and produce technical publications, including manuals, online content, product labeling, instructions for use, and presentations
- Gather, analyze, and organize technical information from a variety of sources
- Write, edit, proofread, and manage the review and approval process for complex documentation
- Ensure all materials meet established standards for style, format, and regulatory compliance
- Evaluate publication effectiveness and support verification and validation activities
- Follow established change control processes
- Review existing materials and recommend improvements in scope, format, and content
- Manage multiple projects while meeting deadlines and communicating risks or delays
- Investigate and resolve or escalate customer inquiries, complaints, and non-standard requests
- Collaborate with cross-functional teams and external partners, including vendors and manufacturers
- Participate in special projects and perform additional duties as assigned
Key Stakeholders
- Internal: Research & Development, Technical Support, Regulatory Affairs, Quality & Compliance, Product Management/Marketing, Risk Management, Information Technology
- External: Illustrators, translation vendors, print/media vendors, and manufacturing partners
Required Qualifications
- Associate’s degree in Technical Writing, Communications, Medical Technology, Biology, Engineering, or a related field (or equivalent experience)
- Minimum of 3 years of relevant technical writing or communications experience
- Strong ability to collaborate across cross-functional teams and interact with technical and business stakeholders
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities independently
- Proficiency in tools such as HTML, XML, DITA, Adobe FrameMaker, and Microsoft Office
- Experience creating structured, topic-based documentation
Preferred Qualifications
- Bachelor’s degree in a related field
- Experience working in a regulated environment
- Familiarity with content management systems and CSS
- Knowledge of system design, animation tools, or JavaScript
- Experience managing translated documentation
- Experience with website design or authoring tools
