About the Role
Are you the type of person who finds a missing spreadsheet field physically painful? We are looking for an execution-focused Operations & Delivery Coordinator to own the intake and launch workflows for our Site Merchandising team.
This role is about operational rigor. You will be the primary filter for new requests, ensuring every initiative has clear milestones, complete documentation, and a foolproof launch plan. You don't set the strategy-you ensure the strategy is executable by removing friction and enforcing high standards for every handoff.
Responsibilities:
1. Intake Triage & Quality Control
The Gatekeeper: Triage all incoming requests via JIRA. Validate that every request is "launch-ready" with correct module counts, platform targeting, and committed dates.
Standard Enforcement: Route incomplete requests back to stakeholders with clear deadlines for missing information. No "placeholder" ambiguity allowed.
Conflict Resolution: Identify and resolve module definition discrepancies to ensure sizing and scheduling remain consistent across the team.
2. Master Documentation & Governance
Source of Truth: Create and maintain master documentation for all site initiatives, linking key contacts, PRDs, creative assets, and final copy.
Change Control: Own the change log. When scope or timelines shift, you ensure those changes ripple through JIRA, trackers, and master docs instantly.
Knowledge Management: Curate and update a library of reusable templates and playbooks to ensure the team can scale without losing quality.
3. Launch Readiness & Quality Checks
The Final Checklist: Execute standardized launch readiness checks. Ensure creative assets are in-hand, naming conventions are followed, and unique identifiers are applied correctly.
Validation Coordination: Act as the air traffic controller for validation requests, ensuring owners know exactly what to test and by when.
Issue Troubleshooting: Use established playbooks to solve tactical "day-of" issues, escalating to Engineering or Product only when necessary.
4. Process Improvement
Failure Analysis: Identify recurring bottlenecks-like late asset handoffs or missing intake fields-and propose process fixes to reduce cycle time.
Meeting Reduction: Improve documentation clarity to reduce the need for status meetings and manual walkthroughs.
Qualifications:
Experience: 2-4 years in Project Coordination, Production, or Operations (Agency or Brand-side).
Technical Proficiency:
JIRA & Confluence: Advanced ability to manage complex intake tickets and documentation hierarchies.
Workflow Management: Experience with "Change Control" and versioning in a fast-paced digital environment.
Mindset: High Detail/High Discipline. You enjoy enforcing rules and standards to help a team succeed.
Communication: Firm but collaborative. You can tell a stakeholder "no" (or "not yet") with professionalism and clarity.
