Summary
Primarily responsible for filing patient chart information in patient files and overseeing records in record room. Assists with records management/release of information. Provides switchboard coverage, and assembles admission charts.
Responsibilities
(25%)* Maintains filing of patent information to patient charts accurately & times.

(25%)* Pulls patient records as needed by staff
(25%)* Readies charts for off-site storage.
OTHER DUTIES AND RESPONSIBILITIES
- Assists with release of information.
- Provides receptionist/switchboard coverage.
- Receives incoming calls, takes messages, and transfers/links caller to appropriate decision maker/responder and records disposition of incoming calls as directed.
- Greets and directs public who may walk into Agency
- Provides information to general public about agency services and related programs.
- Schedules conference rooms.
- Participates in Agency/guest relations program.
- Scans appropriate documents.

EXPERIENCE, TRAINING AND SKILLS:
- Knowledge of general office procedures.
- Ability to operate all office equipment including: computer, printer, photocopier, facsimile machine, telephone, postage machine, and/or calculator.
- Ability to communicate effectively, verbally and in writing.
- Ability to speak, write, and understand the English language.
- Ability to recognize needs and concerns of people and maintain constructive interpersonal relationships.
- Ability to work independently, demonstrating problem solving and organizational skills.
- Ability to work under pressure of deadlines, changes in schedules, and office routine
- Records management experience preferred.
- Experience as receptionist and/or secretary preferred.
- Knowledge of medical terminology preferred.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
- Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.
- Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
- Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.
- Overall vision and hearing is necessary with or without assisted device(s).
- Frequently required to sit/stand/walk for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching.
- Some exposure to blood borne pathogens and other potentially infectious material. Must follow MyMichigan Health bloodborne pathogen and TB testing as required.
- Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.
- Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.
- Physical Demand Level: Light. Must be able to occasionally (0-33% of the workday) lift or carry 11-20 lbs., frequently (34-66% of the workday) 10 lbs. and or Walk/Stand/Push/Pull of Arm/Leg controls.
