 We’re looking for a proactive, adaptable Administrative Office Assistant who is eager to learn and grow in a dynamic environment. The role blends traditional administrative support with event coordination, team operations, and office management—offering strong development potential for someone who thrives on variety and responsibility. Success in this position comes from strong communication, sound judgment, and the ability to anticipate needs, stay organized, and operate independently.

Primary Job Responsibilities (75–80%)

  • Manage complex calendaring across multiple senior stakeholders and time zones
  • Coordinate travel logistics and itineraries as needed
  • Prepare and process expense reports (1–2x per month)
  • Provide end-to-end support for internal and external events, including planning and execution
  • Support event tracking, pre-clearance processes, and related documentation
  • Assist with ordering branded materials and managing approvals
  • Partner closely with team members to ensure smooth day-to-day operations across a distributed team

General Office Support Responsibilities (15–20%)

  • Maintain office and kitchen supplies and overall workspace readiness
  • Act as a point of contact for vendor coordination and office needs
  • Manage conference room scheduling and shared office logistics
  • Coordinate office lunches, team events, and ad hoc support as needed

     

Qualifications, Skills, and Education Requirements

  • 1-3 years of administrative or business support experience
  • Bachelor’s degree preferred
  • Strong communication skills with a high level of professionalism and maturity
  • Ability to work independently, stay organized, and manage multiple priorities
  • Adaptable, resourceful, proactive, and eager to take on new challenges
  • Team-oriented mindset with strong interpersonal skills
  • Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Adobe Acrobat, Zoom, Concur, Navan (preferred)


Hours & Work Schedule

  • 40 hours per week
  • Monday–Thursday in office; Friday remote

Pay Transparency 

The salary range for this position is $29.00 - $40.00 per hour. Actual pay is based on various factors including but not limited to the budget, work location, and relevant skills and experience.
