About the Role

<div><p>We are seeking an experienced Legal Secretary / Legal PA to join a growing team at their south manchester office. The successful candidate will provide high-quality administrative and secretarial support to a Senior Associate/Partner, ensuring smooth operation of the legal team and excellent client service. This role requires strong organisational skills, attention to detail and a proactive approach to managing workloads across office and remote working days.</p><p>Key responsibilities:</p></div><ul><li><p>Provide comprehensive secretarial and administrative support including audio typing/drafting and formatting correspondence, legal documents, creating court bundles, pleadings and client letters using firm templates and precedents.</p></li><li><p>Manage diaries, schedule meetings and conference calls, arrange travel and accommodation where required, and co‑ordinate internal and external appointments to ensure efficient use of fee earners’ time.</p></li><li><p>Manage incoming and outgoing communications, answer telephone calls, screen and direct enquiries, take messages and respond to routine client queries promptly and professionally.</p></li><li><p>Open, maintain and close client files in accordance with firm procedures; ensure documents are scanned, saved and indexed correctly within the firm’s case management and document management systems.</p></li><li><p>Prepare and lodge court forms, attend to electronic filings and deadlines, assist with the assembly of trial and hearing bundles and ensure compliance with court rules and procedural requirements.</p></li><li><p>Assist with billing and time recording, prepare fee notes and expense claims, and liaise with accounts where necessary to support accurate financial records.</p></li><li><p>Support client care processes by maintaining regular communication, arranging client meetings, sending engagement letters and keeping clients informed of progress in a clear and professional manner.</p></li><li><p>Maintain confidentiality and ensure compliance with data protection, anti‑money laundering and other regulatory requirements; undertake required training and checks.</p></li></ul><div><p>Key skills and experience:</p></div><ul><li><p>Proven experience as a Legal Secretary, Legal PA or similar role within a law firm or legal environment, supporting fee earners across a range of practice areas.</p></li><li><p>Excellent keyboard, drafting and proofreading skills with a strong attention to detail and accuracy when preparing legal documents and correspondence.</p></li><li><p>Confident user of Microsoft Office (Word, Excel, Outlook) and experienced with case management and document management systems; able to adopt new technology quickly.</p></li><li><p>Strong organisational and time management skills, able to prioritise competing tasks, manage diaries and meet deadlines while working independently and as part of a team.</p></li><li><p>Excellent verbal and written communication skills with a professional telephone manner and the ability to liaise effectively with clients, colleagues and third parties.</p></li></ul>
