The role
We're working with a busy, well-established estate agency in
West End, Southampton looking for an organised and confident
Office Administrator to support the branch day-to-day. You'll be a key part of the front office—supporting the team, looking after clients, and ensuring the branch stays compliant and running smoothly.
Key responsibilities
- Answering calls, managing inboxes, and welcoming clients in branch
- Booking and coordinating viewings/valuations and updating the diary
- Producing and sending property details, letters, and general correspondence
- Updating CRM/property portals and keeping records accurate and compliant
- Supporting negotiators and management with admin, reporting, and general office tasks
- Carrying out ID checks and supporting AML compliance (verifying documents, maintaining accurate records, and ensuring files are complete)
- Handling offer paperwork, memo of sale support, and progression admin (where required)
- Ordering stationery, managing post, and keeping the office presentable and organised
What we're looking for
- Previous admin experience (estate agency experience is ideal, but not essential)
- Comfortable following compliance processes and working accurately with documentation
- Strong attention to detail and ability to juggle tasks in a fast-paced environment
- Confident communication skills (phone, email, and face-to-face)
- Good IT skills (Microsoft Office; CRM experience a bonus)
- Professional, reliable, and a real team player
