About the Role

Main Purpose Deliver a comprehensive, responsive administrative service across multiple council areas. Help implement and maintain business support service standards and customer service standards. Contribute to a modern, professional, customer-focused service that supports the Corporate and Business Plans. Key Duties & Responsibilities Administrative / secretarial support Provide daily admin and secretarial support to council officers. Act as a point of contact for a service or department when needed. Provide confidential cross-department support/cover. Work to agreed service standards and standard operating procedures. Ensure efficient turnaround times and effective prioritisation. Process and record applications, system transactions, and queries using approved procedures. Provide reception/customer services and liaise with other departments, external agencies, and the public. Take ownership of customer queries/complaints and follow through to completion. Provide advice on business support processes to colleagues and customers. Manage systems including filing, archiving, retrieval, research, and accuracy checking. Transfer data to other agencies in line with legal/statutory needs and service level agreements. Prepare papers and reports, action recommendations, and manage follow-up. Draft and issue/respond to correspondence in line with procedures and timescales. Record/receive monies (including credit card payments). Bank lodgements; update financial records. Generate/process invoices for authorisation. Assist with purchasing, stock control records, financial claims, and budget monitoring. Operate and monitor manual and computerised booking/requisition systems in line with procedures. Organise meetings, prepare agendas, take minutes, distribute documents. Track actions and maintain follow-up. Assist with departmental projects and events as required. Support maintenance of business support systems and quality management systems. Monitor, review, and implement improvements. Support staff inductions, students on placement, and training programs in line with council policy.
