About you

  • Excellent organizational skills with a strong sense of prioritization and time management
  • High level of service orientation and a professional, friendly demeanor
  • Confident handling of MS Office (especially Outlook, Word, Excel, PowerPoint) and common office tools
  • Experience in office management, team assistance, or administrative roles
  • Strong communication skills in English and German, both written and spoken
  • Independent, structured, and proactive way of working
  • Discretion and a strong sense of responsibility when handling sensitive information
  • Resilience and flexibility in a fast-paced agency environment

The Tasks

  • Organizing and coordinating daily office operations
  • Acting as the first point of contact for employees, visitors, and external partners
  • Coordinating meetings and appointments, including preparation and follow-up
  • Supporting teams and management with administrative and organizational tasks
  • Planning and booking business trips, including expense administration
  • Ordering and managing office supplies and maintaining office infrastructure
  • Coordinating external service providers (e.g. cleaning, IT, maintenance)
  • Supporting internal events, workshops, and agency-wide activities
  • Maintaining lists, databases, and internal overviews
  • Contributing to the continuous improvement of office processes and internal workflows
