Role Summary We are seeking a Licensing Compliance Coordinator to support critical regulatory licensing and reporting activities that ensure the organization remains compliant across federal, state, and local jurisdictions. This role serves as a key connection point between internal teams, external partners, and regulatory agencies. The individual will manage high volume administrative workflows, validate data accuracy, and ensure timely completion of licensing renewals and required filings. You will act as a liaison with third party administrators, oversee documentation processes, assist with research on regulatory requirements, and provide guidance to internal partners. Your contributions will directly support compliance readiness, reduce operational risk, and ensure proper documentation is maintained across the business. Key Responsibilities • Serve as liaison between the company and third party licensing administrators to ensure timely processing and retention of renewals, violations, inspection notices, surety bonds, and other confidential documents • Collect, validate, and track licensing data, including receipt and accuracy of licenses and supporting documents • Manage and process required filings not handled by third party partners such as motor vehicle reports, vehicle inventory tax submissions, and monthly credit card reconciliations • Respond to inquiries from internal teams, external partners, and government agencies regarding licensing status, research requests, product restrictions, and regulatory concerns • Monitor third party administrator activity to ensure timely application submission and ongoing regulatory compliance • Coordinate information flow between internal departments, stores, and external licensing partners to support accurate preparation and submission of renewal applications • Conduct research on federal, state, and local licensing and permit requirements • Analyze regulations and develop actions needed to ensure compliance • Provide guidance on licensing issues, violations, inspections, or related inquiries • Evaluate current licensing programs and recommend process enhancements • Assist with training new team members on licensing procedures • Reconcile general ledger accounts monthly and support inquiries related to account activity Key Requirements • One to three years of experience in a corporate environment or a licensing or compliance focused role • Bachelor’s degree in Business Administration or related field preferred, though a combination of education and experience will be considered • Strong organizational skills with the ability to prioritize tasks and meet deadlines • Ability to work independently and effectively collaborate with a variety of internal and external contacts • Strong communication skills and comfort speaking with external parties by phone • Ability to exercise discretion with confidential documents and sensitive information • Detail oriented approach and strong accuracy in administrative tasks • General knowledge of basic accounting principles • Proficiency with Microsoft Office, particularly Excel and Word Call to Action If you are interested in this opportunity, we encourage you to apply today by submitting your resume and contact information.
