About the Role
As a Event Co-ordinator, you’ll support a programme of exclusive market leading events, projects, and customer engagement strategies for our customers. Each experience will ensure our customers receive the most personal level of service, extraordinary experiences, and tailored communications across all touchpoints. You will work on multiple, simultaneous, projects, whilst managing various stakeholders and interacting with teams across the business. The role will work closely with, the central events team to deliver events and experiences retaining our existing elite customers and acquiring new customers.You won’t be afraid to push the boundaries, ensuring that Selfridges remains a leader in experiences. You will be an excellent communicator who will keep everyone up to speed and will bring teams and stakeholders on the journey with you along the way.Key Responsibilities:Support the Event Manager to curate, develop & deliver strategic communications, events, and experiences for our Customers Work as part of a team to support and deliver events and activities to an exceptionally high standardTrack and document events including RSVPs, sales, attendance, feedback, successes, and learningsBrief event communications that support newsletter creation and delivery Costing and project budgeting by raising, and tracking PO’s and invoices and following through to budget reconciliationCommunication of projects to relevant stakeholders, creating Project Packs to Critical paths and Briefing Documents developing agendas and timelinesDevelop and maintain a robust network of strong working relationships across the business and externally including partners and suppliersDevelop and maintain regular meetings coordinating between VIP and Personal Shopping to ensure streamlined communication and workflowNegotiate with vendors and creating contracts and agreements with in-house legal teamSupport team on research and presenting materials for projectsEnsure all events meet Health and Safety, Security standards as well as GDPR and data security Brief in Graphics and Creative in a timely manner for events collateral and buildsSupporting and deliver events on live days and build up with physical set up, staff management, hosting and production Client liaison for duration of projects Support the Event Manager with planning and delivering franchisesKey skills:Experience in Events including production and communications (preferably Luxury retail)Great and natural ability to network, develop internal/external contacts and working relationships across a diverse range of functionsExcellent communication skillsExcellent written and presentation skillsExcellent planning and organisational skillsExcellent budget managementStrong time management in a fast paced and multi-faceted environmentStrong understanding of the Selfridges customer Enthusiasm and passion to deliver innovative, creative and exciting projectsPersonal Attributes/ Behavioural Skills:Able to communicate clearly and efficiently with people at all levels in a variety of functionsOrganised and able to work on multiple projects simultaneously Confident, determined, and resilientAble to work quickly and accuratelyAble to think on feet and be reactiveDesire and intention to work with a strong team unit
