About the Role

Package / Benefits: 37 Hours Per week Immediate start Weekly Pay 14.35ph Main Purpose: Assist the Function Management Assistant in delivering efficient public tour services and enhancing visitor experiences at City Hall and its grounds. Responsible for managing bookings, providing bespoke tours, and supporting the management of artefacts and artworks. Key Responsibilities: Conduct and adapt public and private tours based on group interests. Maintain and review tour content and routes, suggesting improvements as needed. Collaborate with internal departments to create themed tours for civic events. Develop marketing materials for tours. Implement effective booking and invoicing processes. Ensure compliance with financial procedures for tour bookings. Assist with exhibition operations and support visitor queries. Manage loan agreements and coordinate reproduction requests for artefacts. Oversee the storage and movement of art collections according to best practices. Update databases related to tours and artefacts. Train and supervise casual tour guides when necessary. Support administrative tasks, including managing inquiries and reporting. Participate in working groups and assist with promotional events. Follow council policies on customer care, health and safety, and safeguarding. Employee Specification: Essential Criteria: Experience: At least one year in: Delivering guided tours or visitor experiences. Customer-facing roles with administrative and cash handling duties. Utilizing Microsoft Office and diary management systems. Skills: Effective communication: both oral and written. Strong customer care: enhancing the council’s image. Organizational: Prioritizing workloads effectively. Teamwork: Collaborating effectively both independently and with others. IT proficiency, including standard office and finance software. Cash management, adhering to policies on handling money. Shortlisting Criteria: Relevant experience in the specified areas.
