Administrative Support Specialist LOCATION Glendale, AZ | Onsite COMPENSATION & SCHEDULE • Pay: $22.64–$33.96 per hour • Full-time | 40 hours per week • W-2 Employment ROLE IMPACT The Administrative Support Specialist provides high-level administrative and customer support to ensure efficient daily operations. This role serves as a key point of contact for internal teams and external customers while managing records, coordinating schedules, processing documentation, and supporting departmental projects. Success in this role is measured by accuracy, organization, responsiveness, and exceptional customer service. KEY RESPONSIBILITIES • Answer phones, greet visitors, respond to inquiries, and provide professional customer service to internal and external stakeholders. • Process administrative and financial transactions including purchase requests, invoices, payments, service orders, forms, registrations, and records. • Schedule meetings, appointments, interviews, travel, training sessions, and conference rooms while maintaining calendars and preparing meeting materials. • Create, update, proofread, and maintain correspondence, spreadsheets, databases, reports, records, and filing systems in both paper and electronic formats. • Support departmental operations by ordering supplies, coordinating projects and events, maintaining inventories, preparing reports, managing records retention, and assisting with special assignments. MINIMUM QUALIFICATIONS • Minimum of 2 years of administrative support experience . • Strong customer service, communication, organizational, and document management skills with the ability to handle confidential information. • Proficiency using Microsoft Office applications, spreadsheets, databases, data entry systems, and standard office equipment. CORE TOOLS & SYSTEMS • Microsoft Word • Microsoft Excel • Microsoft Outlook • Electronic document management systems • Database and spreadsheet applications • Office productivity software PREFERRED SKILLS • Experience processing invoices, purchase requests, or other administrative financial transactions. • Ability to accurately proofread documents and maintain detailed records. • Experience coordinating meetings, calendars, travel arrangements, and departmental projects.
