About the Role

Description

  • Provide administrative support to the graphics team through accurate data entry and record updates

  • Manage digital files, including organizing, saving, and maintaining PDF documents

  • Transfer artwork/files between internal programs, databases, and company servers

  • Assist with project coordination by tracking deadlines, updates, and required materials

  • Route questions, requests, and project-related inquiries to the appropriate team members

  • Maintain organized filing systems for both physical and electronic documents

  • Prepare and send emails related to project updates, requests, and follow-up communication

  • Support day-to-day office operations to ensure workflow efficiency within the graphics department

  • Verify file accuracy and ensure documents are properly stored and accessible

  • Assist with additional administrative or special projects as needed

Qualifications, Education and Experience

  • Administrative experience preferred

  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.

  • Demonstrate strong computer proficiency.

  • Experience using Microsoft Office Suite (Word, Excel, Power Point), Visio, Teams, and Outlook.

  • Maintains strict confidentiality and protects privacy of confidential/sensitive information.

  • Exceptional time management and organization skills. Ability to manage multiple tasks and projects simultaneously establishing priorities to meet deadlines.

  • Ability to communicate effectively.

  • Self-confident, self-motivated polished professional who thrives in a challenging, fast-paced environment.
