This is not a traditional support role; you will act as a strategic partner to executives, managing complex operations and contributing to projects that impact billions of users worldwide.
The Role As an Administrative Business Partner, you will navigate ambiguity to provide comprehensive support. Your day-to-day will involve high-level calendar management, international travel coordination, and the execution of team events and site-wide programs. You will be expected to use strong judgment to prioritize tasks and foster efficiency within the leadership team.
Key Responsibilities
Manage complex, proactive calendaring across multiple time zones, ensuring leadership time is optimized.
Coordinate end-to-end travel logistics, including visas, tech support, and post-travel documentation.
Plan and execute internal programs, team off-sites, and business summits, managing everything from budgets to vendor logistics.
Prepare executive meeting materials, including decks and agendas, while ensuring all equipment and attendee lists are confirmed.
Liaise with internal partners such as Real Estate and Workplace Services to manage office space and facilitate team moves.
Handle sensitive information with the highest standards of confidentiality and discretion
Requirements
Proven experience in executive calendar management and travel coordination.
Strong background in event management and project delivery.
Proficiency in expense management and budget tracking.
Excellent written and verbal communication skills with the ability to build rapport with internal and external stakeholders.
Ability to work independently with some guidance while maintaining high attention to detail.
