About the Role
Works directly with Administrative Assistant I and Area Director, assisting in implementation of daily operational activities. Responsible for clerical support of HCSIS Stage I and Stage II investigations including data entry/correspondence. Back up for ordering supplies, office equipment and furniture. This includes maintaining a relationship with the Regional Business Office and various vendors that items are purchased from. Responsible for maintaining historical file system; which includes purging records and filing. Maintains Ineligible file system. Reviews forms, lists, documents, correspondence and/or applications for accuracy and completeness. Performs typing tasks utilizing MS Office programs, as needed and requested, including correspondences, etc. assist SCs with copying and mailing of ISPs. Maintains Reception Area including security, processing incoming and outgoing mail, switchboard, and maintaining In/Out board for staff. Maintains level of confidentiality around staff cell phone numbers, consumer information, confidential material including files that are being purged and individual consumer crisis. Maintains filing system for processing of MASSCAP information. Maintains tracking system for Safety Plans and Monthly Site Visits and other duties as assigned.
Required Skills
Ability to read, write, and comprehend the English language
Ability to use proper grammar, punctuation, and spelling
Knowledge of clerical office practices and procedures, including office correspondence and the types and uses of office equipment
Skill in typing at a minimum of 20 mailable words per minute
Ability to follow written and oral instructions and directions
Ability to communicate effectively through oral expression
Ability to assemble items of information in accordance with established procedures
Ability to file materials in accordance with standard filing procedures
Ability to maintain accurate records

Desired Skills
Prior experience in a clerical or administrative office environment
Familiarity with standard filing systems and record-keeping practices
Experience using common office equipment (copiers, scanners, fax machines)
Basic computer skills, including word processing and email applications
