About the Role

Key Responsibilities: o Manage conference room bookings and floor activities o Control access to the secured floor and oversee the visitor system. o Must operate in accordance with the enhanced security protocols recently implemented on the 49th floor. o Maintain executive areas, including the refrigerator and conference rooms o Handle mailings and entry of floor maintenance requests o Maintain Level 49 floor plan o Provide support to 49th-floor assistants as needed, with priority given to relief coverage for the Upstream President and DM&C President desks. o Manage the 49th floor distribution list o Assist with high-level events and meetings on the 49th floor, including catering o Other misc. tasks 4. This role supports executive operations in a large corporate office environment and requires a highly professional, proactive, and organized administrative professional with C-suite support experience. Schedule: Monday–Friday, 7AM – 4PM Work Setting: Fully onsite, Executive corporate office Position OverviewThe Executive Administrative Assistant will support the day-to-day operations of the executive floor, including visitor access, conference room coordination, executive-area upkeep, event support, and relief coverage for executive assistants supporting senior leadership. The successful candidate will demonstrate exceptional communication, discretion, sound judgment, and the ability to manage high-priority requests in a fast-paced corporate environment. Key ResponsibilitiesManage conference room bookings, scheduling, and other daily activities. Control access to the secured executive floor and oversee the visitor management system. Follow all enhanced security protocols for the executive floor. Maintain executive common areas, including conference rooms, kitchen/refrigerator areas, and overall floor presentation. Coordinate mailings and submit floor maintenance requests as needed. Maintain the executive floor plan and distribution list. Provide support to executive assistants as needed, with priority given to relief coverage for the Upstream President and DM&C President desks. Assist with high-level executive events and meetings, including catering coordination. Coordinate with catering, maintenance, and other vendors for events, repairs, and services. Provide basic troubleshooting support for conference room audiovisual equipment. Assist with building safety protocols, emergency drills, and incidents as needed. Complete other administrative and operational tasks as assigned. Required QualificationsHigh school diploma or equivalent. Minimum of years of executive-level administrative support experience required. Experience supporting C-suite executives within a large corporate organization, preferably within the oil & gas industry Proficiency with Microsoft Office Suite and visitor management systems. Strong understanding of a professional corporate office setting. Excellent verbal and written executive communication skills, and relationship-building skills. Strong organizational skills, with the ability to multitask, prioritize requests, work effectively under pressure, and adapt to changing priorities. Ability to maintain confidentiality and handle sensitive information with discretion. Professional demeanor, polished presentation, and strong customer-service orientation. Preferred QualificationsExperience using Microsoft Copilot or other AI productivity tools, or willingness to be trained. Confidence learning and supporting digital tools and process improvements. Leadership capability and the confidence to speak up, ask questions, and seek support when appropriate.
