Office Assistant
Be the welcoming face of our plant while building valuable administrative and HR experience.
We’re seeking a polished, organized, and people‑focused Office Assistant to serve as the first point of contact for employees, applicants, customers, vendors, and visitors. This highly visible role supports both the Plant Manager and HR Manager and helps keep the front office running smoothly through reception, administrative support, purchasing coordination, and cross‑functional communication.
As you grow in the role, you’ll also have opportunities to take on additional responsibilities within Human Resources.
Key Responsibilities
Front Office & Reception
Greet employees, applicants, customers, vendors, and visitors with professionalism and warmth
Answer and direct incoming calls promptly
Serve as a resource for employees and visitors needing information or assistance
Obtain and scan required visitor documentation (including nondisclosure agreements)
Manage incoming and outgoing mail and correspondence
Maintain communication with shift supervisors, warehouse staff, and other plant departments
Support general office tasks such as filing, scanning, copying, and document organization
Administrative & HR Support
Provide administrative support to the Plant Manager and HR Manager
Schedule meetings, manage calendars, and reserve conference rooms
Coordinate office events, employee lunches, meetings, and plant activities
Arrange travel for plant leaders and employees
Assist with special projects and take on additional HR responsibilities as experience grows
Handle confidential information with professionalism and discretion
Purchasing & Accounts Payable
Create purchase orders and purchase requisitions
Verify receipt of goods and services and submit invoices for payment
Reconcile company credit card statements
Partner with Purchasing, Accounting, and other departments to resolve questions
Qualifications
High school diploma or equivalent
2–3 years of office, reception, or administrative experience
Professional presence and confidence interacting with employees, leaders, applicants, customers, and vendors
Strong organization, communication, and time‑management skills
Ability to prioritize multiple tasks and take initiative
Excellent written and verbal English communication skills
Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
Comfort using online travel and scheduling systems
Ability to follow instructions, solve routine problems, and adapt to changing priorities

Work Environment
This role is primarily based in an office near the manufacturing floor. You may experience occasional machinery noise and regular interaction with employees throughout the plant.
