We are seeking a detail-oriented Administrative Analyst to provide temporary administrative, reporting, and data support in a team-oriented environment. This role will support project, budget, and financial tracking activities by collecting, organizing, analyzing, and reporting data from project managers, project sponsors, and financial reporting systems.
The ideal candidate will be highly organized, proficient in Microsoft Excel and Outlook, comfortable working with data, and able to support reporting, budgeting, forecasting, and dashboarding activities. This position requires strong communication skills, the ability to work collaboratively with multiple stakeholder groups, and the flexibility to manage competing priorities in a fast-paced environment.
Key Responsibilities
- Collect, track, and organize data received from project managers, project sponsors, and financial reporting systems.
- Assist in preparing draft quarterly project, budget, and financial reports.
- Log and track funding requests, budget updates, and related documentation.
- Support the preparation of quarterly budget baselining and planned expenditure spreadsheets.
- Assist with monthly spending forecasts and financial tracking activities.
- Prepare, update, and document project-related memos, procedures, reports, and correspondence.
- Schedule meetings in Outlook with internal teams and stakeholder groups.
- Maintain and monitor a shared department email inbox.
- Support administrative tasks within a Power Apps-based budget or project tracking system.
- Create, refine, and maintain Excel worksheets, trackers, and reporting tools.
- Develop dashboards and visual reports using existing data.
- Research, gather, compile, and interpret data to support decision-making.
- Assist with project management support, documentation, and process improvements.
- Organize and prioritize work while managing multiple deadlines and tasks.
- Communicate clearly and professionally with internal and external stakeholders.
Required Qualifications
- Bachelor’s degree in a related field and four years of relevant experience; or
- Master’s degree in a related field and two years of relevant experience; or
- Equivalent administrative, analytical, budgeting, finance, or project support experience.
Preferred Background
- Degree or coursework in finance, economics, engineering, business administration, public administration, or a related field.
- Experience supporting budgeting, financial reporting, project coordination, or administrative analysis.
- Experience working with financial tracking systems, project management processes, or contract administration.
Required Skills
- Proficiency with Microsoft Outlook.
- Proficiency with Microsoft Forms.
- Advanced Microsoft Excel skills, including XLOOKUP, INDEX/MATCH, PivotTables, and Pivot Charts.
- Ability to create and maintain dashboards using existing data.
- Strong data collection, data analysis, and reporting skills.
- Ability to interpret financial, budgetary, and project-related data.
- Strong written and verbal communication skills.
