Location: Bristol, UK – Onsite
Reports to: Executive Assistant to Directors

The Role
We are looking for a proactive and highly organised Office Administrator to support the smooth running of our client’s day-to-day operations. Working closely with the Executive Assistant to Directors, the successful candidate will provide essential administrative and facilities support across the organisation.
Key Responsibilities
Manage and coordinate travel bookings, including international arrangements, accommodation, and local transport
Prepare meeting spaces and organise refreshments for on-site meetings and client visits
Greet visitors and coordinate hospitality arrangements as required
Maintain stock levels of office supplies and consumables, ensuring timely reordering
Assist with office layout planning, desk setup, and moves, including support during periods of expansion
Keep IT equipment records and asset tracking systems up to date
Sort and distribute incoming post and deliveries
Provide general administrative support across office operations, facilities, and health & safety functions
Support staff offboarding processes, including equipment return and organising farewell arrangements
Manage the signing process for visitor NDAs
Assist with planning and coordination of internal social and team events
Key Skills and Experience
Previous experience in a similar office-based administrative role
Excellent organisational skills and the ability to manage multiple tasks
Strong written and verbal communication skills
Proficient in Microsoft Office (Word, Excel, Outlook)
Strong attention to detail and ability to work with minimal supervision
Discreet, professional, and trustworthy when handling sensitive or confidential information
A proactive approach with a positive, can-do attitude
