About the Document Management Function

The Document Management function enables Apollo's commissioning delivery by ensuring the accurate capture, organisation, and final compilation of project documentation throughout the commissioning lifecycle. Working closely with technical teams across multiple regions, the team transforms complex project data into structured, client-ready deliverables — culminating in the final commissioning reports that formally document system performance and project completion.

As the volume and complexity of Apollo's project portfolio grows, the ability to track, measure, and report on documentation performance has become increasingly critical. The Business Intelligence Analyst role is designed to meet that need — bringing data rigour and reporting discipline directly into the document management function.

 

Position Summary

The Junior Business Intelligence Analyst supports Apollo Ghana's global operations by maintaining data accuracy, building and updating dashboards, and executing recurring reporting in support of the Document Management team and broader Apollo operations.

This role sits within the Apollo Ghana team and operates as a key support function for the document management, PMO, and commissioning delivery teams. The analyst will work with data drawn from multiple sources across Apollo's project portfolio, and will be responsible for ensuring that outputs are accurate, timely, and presented in a clear and professional format suitable for internal leadership and client-facing use.

The ideal candidate is highly organised, detail-driven, and takes personal accountability for the accuracy of their outputs. This role is well suited to a high-potential analyst who learns quickly, communicates clearly, and takes satisfaction in turning complex operational data into clean, actionable reporting.

 

Key Responsibilities

Reporting & Dashboard Management

Maintain and update recurring reports, trackers, and dashboards on agreed schedules.

Prepare charts, tables, and executive-ready summaries in support of senior analysts and team leadership.

Ensure all reporting outputs meet Apollo's standards for accuracy, formatting, and clarity before publication.

Support daily and weekly reporting requirements for Apollo Global project teams and internal leadership.

Maintain version control and distribution records for all published reports and dashboards.

 

Data Collection, Quality & Integrity

Collect, clean, and validate data from multiple sources including the PMO, Document Management team, Finance inputs, and regional project trackers.

Perform routine quality checks and reconcile anomalies before reports are published.

Identify data gaps, inconsistencies, or quality issues and raise them proactively before they affect outputs.

Document metric definitions, data sources, calculation logic, and report structures to ensure repeatability and continuity.

Support the development and maintenance of data dictionaries and reporting standards.

 

Analysis & Operational Support

Support ad-hoc analysis requests including turnaround time analysis, regional performance reviews, and backlog visibility.

Assist in identifying trends, patterns, and anomalies within document management and project data.

Contribute to performance measurement reporting for the Document Management function.

Support process improvement initiatives by providing data and analysis to inform decisions.

 

Systems & Tools

Proficiency in or ability to quickly learn the following platforms is expected:

Microsoft Excel — advanced proficiency required (lookups, pivot tables, data cleaning, charting)

Power BI or Tableau (building or maintaining dashboards — preferred)

Basic SQL (select, filter, join concepts — preferred)

SharePoint

Microsoft Office Suite — Word and PowerPoint proficiency required

Commissioning documentation platforms and project management tools (training provided)

 

Qualifications

Required

Bachelor's degree in Business, Analytics, Statistics, Economics, Engineering, Finance, or a related field — or equivalent demonstrable experience.

0–2 years of experience in analytics, reporting, operations support, or a similar role.

Strong attention to detail and a disciplined commitment to accuracy and completeness.

Clear written and verbal communication skills, with the ability to present data in an executive-friendly format.

High personal accountability — raises issues early, does not conceal errors, takes ownership of outputs.

Comfortable working with large datasets and managing repeated reporting cycles.

Preferred

Experience with Power BI or Tableau at a dashboard-building or maintenance level.

Basic SQL knowledge — select, filter, and join concepts.

Experience working in project-based environments such as construction, engineering, or professional services.

Exposure to document management or commissioning environments.

Experience working in or with offshore or distributed team structures.

Work Environment

Primary base: Accra, Ghana.

Combination of office and remote working — primarily office-based.

Offshore delivery model with regular coordination across Apollo Global teams in multiple time zones.

Fast-paced, deadline-driven environment.

Minimal travel required.
